According to your requirement, It can be added as a email template for admin. That needs feature request as you did correctly.
However, it is better to visit website dashboard everyday for a certain time to approve all. This might be what our users are doing. It could be a hassle for admin to visit dashboard every time he gets emails from all visitors if the website gets a lot of visitors.

I have found that you are using Attire theme.
I would suggest to activate the attire child theme for your site. If you have already made changes in your current theme, replicate those in child theme too. I need to edit the theme files too.
Editing in child theme will keep the changes even if you update theme and plugins. Let me know then.

You can set category access setting from “Edit Category” page. This works just like the package “Allow Access” option. Selected user roles can access the files from the category.
So for only logged in users, you can select all roles except all visitors.

In last time there was already issue with critical error in your site. I didn’t produce the issue in your site. There could have conflict issue with other plugin. I would suggest to use staging site for inspecting this type of error next type.
However, here I already showed you the issue is not appearing in my test environment. If you don’t want to provide temporary admin access, For testing you can use https://try.wpdownloadmanager.com/wp-admin/ then you can record the issue using loom.com

The issue is coming from theme. If I change the theme to any default WordPress theme like Twenty Twenty, The shortcode is coming to content and working properly. There are some issues with the child theme files. That is the reason I suggested to contact theme developer.
Also when I created the page, I also sent you the related screenshot in my reply. The button is working properly. Not sure why it is not working now. I have again checked if there is any issue with private message plugin, but our plugin is totally ok.
If the issue still persists, you need to run a conflict test on your site to detect what actually causes the problem. To do so, first of all, switch your theme to a default theme like 2020 or 2022 and check if the issue still persists.
If switching to the default theme also doesn’t help, then please check if there are any conflicts among the installed plugins. To troubleshoot the issue, please deactivate other plugins except for WPDM with all addons of WPDM if you are using and check if the issue still persists. If that solves your problem, activate the plugins one by one, and continue checking the issue. In this way, you will be able to detect which one causes the problem.
